POSITION SUMMARY:
The YL+E Office and Registration Assistant will accommodate the administrative needs of the Youth Learning + Engagement (YL+E) department and the Director of Youth Education. This will include office management, supply ordering, payroll support, financial tracking, and assisting the Registrar and Enrollment Manager with registration and database tasks. The YL+E Administrative Assistant will manage general office operations and report directly to the Director of Youth Education.

• Highly organized and able to handle multiple responsibilities
• Budget/financial management experience required
• Customer service oriented
• Database experience preferred
• Proficient at Microsoft Office, including Word, Excel, Power Point, and Outlook

GENERAL RESPONSIBILITIES:

  1. Serve as the office manager and greeter during the week and on Sunday mornings when YL+E is in session, including fielding requests from parents, answering incoming calls, welcoming guests, and providing on-site support while school is in session.
  2. Provide administrative support to Director of Youth Education, including calendar management and answering and screening incoming communications as appropriate. Provide assistance with on-going and short-term projects, as well as communication with congregants, faculty and staff as directed.
  3. Support financial administration of the YL+E office, including creating and updating the internal budget spreadsheet, submitting faculty payroll, managing budget information in the budget software, monitoring monthly actuals, and preparing and submitting expense statements.
  4. In partnership with Human Resources and the Accounting Department, manage YL+E faculty contracts and new hires, submit new hire paperwork, and track faculty attendance and professional development.
  5. Support the Registrar and Enrollment Manager as needed with registration for YL+E and ECEC, including:
    a. Academic year scheduling, class placement, class lists, directories, management of medical information, and set up of classes in the database.
    b. Working with parents to help troubleshoot any issues with registration or class placement.
    c. Working with accounting to ensure appropriate student billing, collections, and accounts payable.
    d. Notifying parents and teachers of class placement information and any changes to class placement.
    e. Creating family records, updating of information contained in the database, and running reports and queries based on the needs of the school staff.
  6. Work with Temple’s Membership Data Administrator and to create, update, and maintain various forms, including event registration forms.
  7. Manage the YL+E departmental calendar; including maintaining the department’s internal calendar, submitting events and set-ups to Temple Emanu-El’s calendaring software, creating and managing clergy and staff coverage calendars.
  8. Perform other duties as requested by the Director of Youth Education.
